Our story

How Hearthline Came to Be

Hearthline was founded in George Town in 2019 by a small group of administrative professionals who had each, in different roles, watched families struggle with the same problem: there is a great deal of publicly available information about Malaysian household processes, but it is scattered across government portals, community notice boards, and institutional publications in a way that makes it hard to find and harder to read together.

The founding team had between them worked in records management, community facilitation, and clerical support. None of them were qualified in law, finance, or counselling — and that was a deliberate starting point. They wanted to build a service that was honest about what it could and could not do from the first conversation.

Hearthline's first offering was a monthly information evening. Two years later, the archive service was added after attendees repeatedly asked for help putting their paper records in order. The household transition support plan was introduced in 2022 to serve families dealing with more extended administrative changes.

The service has remained small on purpose. Hearthline currently works with a limited number of families at any one time so that the coordinator role in the transition plan is a genuine, attentive one rather than a box-ticking exercise.

Mission and Values

Our mission is to make administrative information about family life in Malaysia easier to find, easier to keep, and easier to act on — without steering families in any particular direction.

Honest Limits

We say clearly what we are not qualified to do. A referral list is part of every engagement because there are things Hearthline should never attempt to provide.

The Family's Pace

We do not create urgency. A family working through a bereavement or a change in care arrangements is already under enough pressure. Our role is to reduce the administrative load, not add to it.

Written, Not Verbal

Everything agreed in a meeting is summarised in writing and given to the family. We do not rely on memory and we do not expect the family to take notes.

Data Stays With You

Documents shared with us during the archive service are scanned and then returned. Copies go on an encrypted drive you keep. We hold no copies of any family's personal records.

Sathyaraj manages the archive service appointments. He handles all scanning, indexing, and encrypted drive preparation, and works through the four sessions at whatever pace suits the family.

These are the commitments that govern how every engagement with Hearthline is conducted. They are not aspirational statements — they are practical requirements that shape every session and every document we produce.

Source Citation

Every factual point made in an information evening is drawn from a publicly available source, which is named in the session and listed on the printed reference sheet.

Data Protection

Personal data collected through our enquiry process is held only as long as needed to respond to the enquiry and deliver the agreed service. We do not share it with third parties.

Written Agreements

Any variation to a service — additional appointments, changed scope — is agreed in writing before work begins. We do not act on verbal agreements alone.

Clear Referral Practice

When a matter falls outside what Hearthline can properly handle, we say so in writing and provide a referral list naming the relevant body and its published contact channel.

No Individual Advice in Groups

Individual circumstances are not discussed in the information evening. Any family who wishes to raise something specific is given a referral list at the door and invited to make a separate enquiry.

Support Person Welcome

Any family member, friend, or support person may attend any appointment. This is stated at the point of enquiry and repeated at the start of every session.

Our focus

Family Administrative Support in Penang

Families in Malaysia navigate a considerable range of administrative processes over the course of a household's life — registration changes, care arrangements, property transfers after a bereavement, documentation for a new marriage. Much of what is needed is publicly documented, but finding it and keeping it together is a distinct task that most families handle without any structured help.

Hearthline exists to fill that gap. Our information evenings draw on publicly available sources from Malaysian government bodies and present them in a single room, in plain English, with a printed reference sheet. Families leave knowing where to look, not what they must do — that decision belongs entirely to them.

The archive service addresses the practical problem of household records that have accumulated over years without any organising structure. A bound chronological index, an encrypted drive, and a contacts directory for every issuing body means that the next time a document is needed, the family knows where it is.

The household transition support plan was designed for longer, more involved administrative changes. A named coordinator, monthly meetings, written summaries, and a handover protocol mean that the paperwork side of a significant household change is managed systematically — with every regulated matter passed, in writing, to a qualified professional the family chooses themselves.
